JOB DESCRIPTION

As a member of the Administration Team, you’ll be key to ensuring the smooth functioning of the day-to-day workflow at CPG. This position runs the front desk, serving as the face of the company and a welcoming presence to clients, visitors, callers and employees. You will also be responsible for supporting the CEO—and to a lesser degree, other members of the leadership team—in a general administrative capacity.

 

Specific day-to-day tasks include scheduling, coordinating, correspondence, meeting planning and preparation, travel planning, office and supplies management, reception, call routing, computer work, special projects and other reasonable tasks as assigned.

 

Communication, positivity, problem solving, attention to detail, initiative, flexibility, timeliness, sensitivity to confidential matters and grace under pressure are keys to success in this role.

 

This position reports to the Director of Finance & Administration and works closely with the CEO.

 

ROLES & RESPONSIBILITIES

Success in this position requires a blend of the following roles and responsibilities:

 

General Administration

  • Coordinate office administration and procedures to ensure organizational effectiveness and efficiency
  • Manage company calendar, directory, contacts, conference rooms, guest prep, etc.
  • Arrange personnel travel
  • Perform other clerical duties such as filing, photocopying, etc.

 

Reception / Front Desk

  • Answer, screen and route incoming phone calls while providing basic information when needed
  • Assist visitors by welcoming, directing and announcing them in a warm, professional manner
  • Coordinate delivery and receipt of mail, packages and couriers
  • Prepare and validate guest parking passes
  • Operate the welcome screen (Keynote, PowerPoint)

 

Executive Administration

  • Manage all of the CEO’s needs (calendar, meetings, appointments, travel, guests, etc.)
  • Arrange executive travel and clearly communicate itineraries to necessary parties
  • Prepare agendas and make arrangements/preparations for meetings
  • Manage portfolio of Internet domains (file registrations, renew expiring registrations)
  • Perform Internet research as needed
  • Reconcile expense reports
  • Provide routine administrative support to executive team

 

Office Management

  • Assist in resolving problems and interpret administrative policies, recommending workflow improvements
  • Assist with office, maintenance and facilities issues/communication
  • Handle office open and close procedures
  • Monitor shared spaces for tidiness and perform light cleaning of kitchen and conference rooms

 

Supplies / Inventory

  • Manage and negotiate the purchasing and provisioning of office supplies
  • Monitor inventory levels and proactively address to keep the office running smoothly
